1 Purpose and scope
Villaje Care Technologies Inc. (Villaje, we, us or our) is developing a platform to connect older adults and families with independent support workers for non-medical support at home. This Policy describes how we handle personal information through villajecare.com, our family and care-professional founding waitlists, enquiries, launch communications and related research.
Personal information means information about an identifiable individual.
This Policy does not authorize collection for services that are not yet available. Before introducing bookings, payments, identity or background verification, care records, precise location tracking or other materially different processing, we will provide the relevant notice and obtain any required consent. Joining a waitlist does not create a care arrangement or authorize us to disclose your information to prospective care recipients or workers.
Our privacy practices are subject to applicable Canadian law, including the Personal Information Protection and Electronic Documents Act (PIPEDA). Where another privacy statute applies, its requirements govern. A non-medical label does not determine whether Ontario health-information law applies. We will assess our role and applicable obligations before handling personal health information for operational care services.
2 The information we collect
Family waitlist. We collect the information you submit, such as your name, email address, optional telephone number, city or postal area, relationship to a prospective care recipient, broad support interests, anticipated timing and contact preferences. We do not require a care recipient's full name, diagnosis or detailed medical history to join the waitlist.
Care-professional waitlist. We collect contact information, service area, broad experience or qualification categories, availability and the support activities you are interested in providing. Waitlist registration is not verification or approval. Do not send police-check reports, identity documents, banking details, social insurance numbers or professional records unless we specifically request them through an appropriate process.
Communications and consent. We collect enquiries, feedback, correspondence, preferences, and records of the notices and consent choices presented to you. If you request an accommodation, we seek information about the barrier and assistance needed, not a diagnosis unless genuinely necessary and lawful.
Website information. Servers and security tools may collect IP address, date and time, browser and device information, pages requested, referral source and error or security events.
When enabled with the appropriate notice and choice, analytics may record page interactions and campaign attribution. We do not need precise GPS location for the founding waitlist.
3 Why we use personal information
We use information to administer the waitlists; respond to enquiries; communicate about a requested registration; understand potential demand and workforce availability by area; plan launch capacity; invite voluntary research; maintain consent and suppression records; improve website usability; detect abuse; investigate complaints; and meet legal obligations. We limit each use to information reasonably necessary for that purpose.
Optional promotional messages, testimonials and identifiable publicity require a separate appropriate permission. We do not sell personal information. We do not use care-related or health information for third-party advertising, and we do not provide identifiable waitlist submissions for training general-purpose artificial intelligence models.
We do not make decisions about eligibility for care or work opportunities solely through automated processing at the waitlist stage. Aggregated planning reports should not identify individuals. Where we de-identify information, we use reasonable measures to reduce re-identification risk and do not treat merely pseudonymized records as anonymous.
4 Consent and your choices
We explain material purposes at or before collection and seek a form of consent appropriate to the sensitivity of the information and your reasonable expectations. A link to this Policy is not, by itself, consent to every possible use. We distinguish information needed to manage your request from optional uses. We will seek fresh consent for a new purpose when required by law.
You may decline optional fields or uses and may withdraw consent by contacting our Privacy Officer. We will explain any practical or legal consequences. Withdrawing consent to maintain a waitlist entry may require removal from that waitlist; refusing optional marketing does not prevent registration. Withdrawal generally applies prospectively and does not require destruction of records we must lawfully retain.
We may collect, use or disclose information without consent only where an applicable legal exception permits or requires it. We do not rely on a general contractual waiver of privacy rights.
5 Information about other people
Where possible, provide your own contact details and broad support interests rather than another person's sensitive information. If you provide information about someone else, you must have their consent or other lawful authority and explain this Policy to them in an accessible way. Being a relative does not automatically authorize every disclosure or decision.
We respect the autonomy and capacity of the individual concerned. We may seek proportionate evidence of representative authority before granting access or taking instructions. Do not submit personal information about children through these senior-care waitlists. Registration is intended for adults aged 18 or older; contact us if information about a child has been submitted inadvertently.
6 Cookies and similar technologies
Essential technologies support delivery, security and retention of your privacy choices.
Optional analytics or advertising technologies must not be activated before the applicable consent choice has been presented and obtained where required. The website's cookie notice or settings, where such tools are deployed, will identify their purposes, providers and relevant durations.
You can use available website controls or browser settings to manage cookies. Blocking essential technologies may affect functionality. We do not treat a general browser signal as consent. If an embedded third-party service would transmit information before you choose to use it, we will provide an appropriate control or alternative.
We do not send names, email addresses, telephone numbers, form contents or sensitive care interests to advertising pixels. A future advertising program involving different practices requires a revised notice and any necessary consent before activation.
7 When we share information
Service providers. We may use providers of hosting, form delivery, customer relationship management, email delivery, security, analytics and professional advice. Access is limited to the information needed for the contracted purpose. We require appropriate confidentiality, safeguards and restrictions on independent use. Ask the Privacy Officer for information about the providers and processing locations relevant to your records.
At your request. We may disclose information as you specifically direct, after confirming the recipient and your authority. Waitlist information is not a public directory and is not automatically shared with other registrants.
Legal and safety matters. We may disclose information where legally required or permitted, including to respond to valid legal process, investigate unlawful activity, protect rights or address a qualifying emergency. We assess the legal basis and limit the disclosure to what is justified.
Business transactions. A proposed or completed financing, merger, acquisition or asset transfer may involve limited information sharing where permitted by law, subject to confidentiality and purpose restrictions. We will provide notices required by law. This provision does not permit unrestricted sale of waitlist information.
8 Processing outside Canada
Authorized personnel or service providers may access or process information outside your province or Canada. Information processed abroad may be subject to foreign laws and lawful access by courts or public authorities. We remain accountable for information transferred to service providers and use contractual and other reasonable measures to protect it.
Before selecting or materially changing a processing arrangement, we assess the information involved, destination, provider safeguards and legal requirements. You may contact the Privacy Officer to ask about current processing locations and associated practices. This Policy does not promise Canadian-only storage.
9 Security and privacy incidents
We use safeguards proportionate to the sensitivity, amount and context of the information, including controlled access, confidentiality obligations, appropriate technical protections, vendor review and secure disposal. No internet transmission or storage system is risk-free.
This acknowledgement does not release Villaje from its legal duties or responsibility for its own conduct.
If a privacy incident occurs, we will assess and contain it, preserve relevant evidence, take remedial action and make notifications and reports required by applicable law. We maintain breach records for legally required periods. Report suspected unauthorized access to the Privacy Officer; avoid sending sensitive evidence through an unsecured channel.
10 Retention and disposal
We keep identifiable information only as long as reasonably necessary for the identified purpose and applicable legal requirements. The following are our standard launch-stage retention limits, subject to the exceptions below.
Waitlist profiles. We review inactive entries and ordinarily delete or de-identify them within 24 months after the last meaningful interaction. If a waitlist closes or you request removal, we dispose of information no longer needed sooner, subject to necessary consent, complaint and legal records.
Routine enquiries. Ordinarily retained for up to 24 months after resolution. Technical and security logs are ordinarily retained for up to 12 months, unless needed for an incident investigation. Shorter vendor log cycles may apply.
Consent and unsubscribe records. We retain sufficient evidence of consent and compliance while relying on that consent and for a reasonable period afterward. A minimal suppression record may be retained as long as needed to honour your request not to receive marketing. Legally required breach records are retained for at least the required period.
A complaint, access request, investigation, legal obligation or reasonably anticipated dispute may require a documented hold beyond the ordinary schedule. Access is restricted during a hold. Backup copies expire under controlled backup cycles and are not returned to ordinary use without applying relevant deletion instructions. We securely delete, destroy or de-identify information when retention is no longer justified.
11 Access correction and complaints
Contact the Privacy Officer to request access to information we hold about you, an account of its use and disclosure, correction of inaccuracies, withdrawal of consent or deletion where available. We may verify identity and authority using proportionate measures. Do not email government identification unless we arrange a suitable method.
We respond within the period required by applicable law, ordinarily 30 days for a PIPEDA access request. Where a lawful extension or exception applies, we will explain it and any available recourse. Access may be limited to protect another person's information, legal privilege or another legally protected interest. We provide reasons where permitted and will correct substantiated inaccuracies or record an unresolved challenge as required.
You may raise a concern with us without retaliation and may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca/en/report-a-concern/. Where provincial health-information law applies, the Information and Privacy Commissioner of Ontario may have jurisdiction. You do not need to exhaust our internal process to exercise a statutory right.
12 Electronic communications
Promotional email or text messages are sent only with consent or another lawful basis under Canada's anti-spam legislation. We identify the sender, provide required contact information and include an effective unsubscribe mechanism. We process unsubscribe requests without delay and within the applicable statutory deadline, generally no later than 10 business days.
A necessary response to an enquiry or administration of a requested waitlist entry is distinguished from optional promotion; calling a message operational does not remove legal requirements. You can request removal from the waitlist or change your preferences by contacting us.
